Job Summary
Your main duty as the office assistance is to be responsible for the routine tasks that keep the office running, maintains office operations by receiving and distributing communications; maintaining supplies and equipment; picking-up and delivering items; serving customers filing, taking inventory, keeping records, sorting checks, prepare documents, process mail and answer telephones.
Job Responsibilities
- Handling incoming calls and other communications
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos and letters
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Submit and reconcile expense reports
- Provide general support to visitors
- Greeting clients and visitors as needed
- Updating paperwork, maintaining documents and word processing
- Performing general office clerk duties and errands
- Organizing travel by booking accommodations and reservations needs as required
- Coordinating events as necessary
- Aiding with client reception as needed
- Experience as a virtual assistant
- Creating, maintaining and entering information into databases

General Requirements
- Must have at least SSCE/OND
- Proven experience as an Office assistant, knowledge of office management systems and procedures working knowledge of office equipment
- Proficiency in MS Office (MS Excel and MS PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Ability to work well under limited supervision.
